Job Summary

This position will be 100% remote. Candidates must reside in one of the following states only: NC, CA, FL, NY, GA, MD, SC, TN, TX, VA, Washington DC, PA, NJ, MA, IL, MT, HI, CO, AZ

This position will focus primarily on effort management to ensure all effort activities are in compliance with federal agency and university guidelines. Reporting to the Effort Manager and working closely with the broader departmental research administration team, the Grants and Contracts Administrator will be accountable for monitoring and resolving effort compliance matters within the Department of Medicine Research Administration Office.

Duties and Responsibilities

  • Responsible for monitoring effort, working with GCAs, investigators, division administrators to interpret award terms, resolve effort management issues and provide guidance on corrective action.
  • Reviews and approves iForms and ensures that transactions meet effort commitments.
  • Handles vacation pay-out, and effort card certification for employee terminations.
  • Provides ongoing education and training on iform, cost-share setups, manual salary cost transfer, DUHS certification and annual effort certification to DOMRA staff.
  • Addresses and troubleshoots issues on cost-share setups and manual salary cost transfers.
  • Ensures that DUHS quarterly confirmation is completed.
  • Complete T32 stipend expenses true-ups at project year close.
  • Evaluate risk associated with various effort transactions, develop and monitor internal performance metrics to ensure high levels of service and accomplishments of objectives, and monitor effort status via the Effort Management Tool.
  • Initiate and process iforms removing active payroll on ended sponsored research projects or/and ad hoc requests.
  • Collect and evaluate VA MOU information for submission to SOM.
  • Lead, initiate, manage and complete special projects as assigned. Create and implement processes to ensure compliance with new and existing Federal regulations. Actively participate and provide recommendations related to new system implementations or enhancements to existing systems.
  • Other duties as assigned, by Grant and Contracts Manager.

Minimum Qualifications

Education

Work requires communications, analytical and organizational skills requirements. generally acquired through completion of a bachelor's degree program. process. Research or grants education and/or certification is preferred. Successful completion of Financial Services Introduction to R3, Introduction to Duke GL, Introduction to Accounting, Sponsored Research Reporting, Research Administration at Duke (on-line), Basic Compliance (on-line) within first six months of hire is required. Successful completion of the Research Administration Academy (RAA) is required. Employees hired into this classification without RAA training will work closely with their manager to schedule and complete the training within 12 months of start date. The expectation is that the staff member will maintain the requirements for their level. Failing to meet these requirements willbe addressed through the performance review Upon successful completion of expected training, the employee must maintain certification(s) by completing continuing education
