Job Description:

TITLE:                                  Executive Secretary to the High School Principal
TYPE OF POSITION:         Full-time (1.0), full-year position; salary commensurate with experience (range: $26.11 - $27.15/hour)
LOCATION:                         High School, Hopkinton, Massachusetts
AREA OF CONSIDERATION: All qualified candidates 
 
This is the position of Executive Secretary to the High School Principal.  The incumbent provides support to the principal by coordinating, overseeing and managing an array of ongoing duties and special projects for the principal.  The Executive Secretary reports to the High School principal.
 
DUTIES
The incumbent provides administrative secretarial support to the High School Principal including, but not limited to the following: 
  1. Prepares and distributes reports, correspondence, and forms, frequently of a confidential nature;
  2. Makes and confirms appointments and meetings as directed, schedules meeting space, and schedules and receives visitors;
  3. Organizes and maintains both electronic and paper files of records and correspondence, including special projects;
  4. Updates and maintains yearly calendar;
  5. Acts a liaison with maintenance department for all building needs;
  6. Assists with special projects, such as MCAS administration, the Annual Report, staff evaluations, and NEASC review by coordinating meetings, tracking relevant information, and producing and maintaining related reports;
  7. Responsible for creating, updating,  and maintaining staff materials such as directories, security badges, faculty handbook, snow chain/CRT;
  8. Tracks and submits biweekly payroll to Payroll department;
  9. Assists with budgeting by tracking expenditures and providing relevant back-up information;
  10. Provides public relations support by assuming responsibility for ListServ messages, newsletters, press releases and website information updates to the public;
  11. Other duties, as assigned.

QUALIFICATIONS 
To be considered qualified for this position, candidates must have the following:
  1. High school diploma or general education degree (GED), Bachelor’s degree in a related field preferred;
  2. Skill in operating a personal computer and extensive experience with office software, such as the Microsoft Office suite – Power School experience a plus;
  3. Ability to communicate clearly and effectively, both orally and in writing;
  4. Ability to apply knowledge, skills, abilities and experience to independently manage projects or segments of projects;
  5. Ability to independently deal with problems involving abstract variables in various situations;
  6. Such alternatives to the above qualifications as the supervisor(s) may find appropriate and in conformity with state and federal requirements.
