JOB SUMMARY

We are seeking an Administrative Assistant in support of a department or group of professionals, regularly required to resolve moderately complex (non-routine) administrative problems independently or with others. Problem resolution may include research. Tasks are typically diverse and advanced.

JOB DUTIES AND RESPONSIBILITIES

  • Serve as team lead for admin support staff. Train staff on processes and procedures to serve as support for clerical duties for the program.
  • Manage highly complex calendars and meeting schedules for assigned leaders.
  • Partner with other support staff to ensure critical meetings are scheduled and program objectives are met.
  • Coordinate and schedule interviews, events, and meetings.
  • Assist with onboarding of all new hires to include staff and interns.
  • Assist with the conduct of interviews.
  • Record and maintain meeting minutes.
  • Coordinate travel for assigned leaders and staff.
  • Submit reimbursements for faculty and APPs.
  • Submit Schedule Change Request (SCR) form to close clinics (process within 48 hours of receipt)
  • Ensure changes are reflected in MaestroCare within 1-2 weeks.
  • Reschedule patients due to provider failing to meet PDC 45 day Planned Absence policy

JOB ELIGIBILITY REQUIREMENTS

  • High school education or equivalent.
  • Two years of administrative support experience of increasing variety and/or complexity

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
