JOB SUMMARY
We are seeking an Administrative Assistant in support of a department or group of professionals, regularly required to resolve moderately complex (non-routine) administrative problems independently or with others. Problem resolution may include research. Tasks are typically diverse and advanced.
JOB DUTIES AND RESPONSIBILITIES
- Serve as team lead for admin support staff. Train staff on processes and procedures to serve as support for clerical duties for the program.
- Manage highly complex calendars and meeting schedules for assigned leaders.
- Partner with other support staff to ensure critical meetings are scheduled and program objectives are met.
- Coordinate and schedule interviews, events, and meetings.
- Assist with onboarding of all new hires to include staff and interns.
- Assist with the conduct of interviews.
- Record and maintain meeting minutes.
- Coordinate travel for assigned leaders and staff.
- Submit reimbursements for faculty and APPs.
- Submit Schedule Change Request (SCR) form to close clinics (process within 48 hours of receipt)
- Ensure changes are reflected in MaestroCare within 1-2 weeks.
- Reschedule patients due to provider failing to meet PDC 45 day Planned Absence policy
JOB ELIGIBILITY REQUIREMENTS
- High school education or equivalent.
- Two years of administrative support experience of increasing variety and/or complexity
JOB HOURS
The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
