Perform administrative duties of a complex and confidential nature in support of departmental or divisional activities to relieve supervisor of clerical and administrative responsibilities and to maintain efficiency of departmental or divisional office operations.

RESPONSIBILITIES (include but not limited to)

  • Maintain calendars for providers/independent decision making
  • Maintain/update faculty CV's
  • Ensure all licensures for faculty are kept up-to-date
  • Schedule/reschedule clinic appointments as needed for the division in EPIC
  • Monitor in basket for handling all patient information
  • Work with division lead on developing measures to increase access to care for providers
  • Organize work load to also include cross-coverage as needed within division
  • Proactively monitor clinic schedules and make changes as appropriate
  • Compile required documentation for faculty reimbursements
  • Independently answer all calls and handle accordingly
  • Maintenance of medical records within our electronic medical records in Onbase
  • Complete away time in Qgenda and assist in managing your faculty away time
  • Screen and route mail and documents; determine which to respond to or which to bring to supervisor's attention based on content of communication and knowledge of departmental programs and activities
  • Assist with patient forms to be completed in a timely manner
  • Organize daily responsibilities to ensure deadlines are met

MINIMUM QUALIFICATIONS

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post secondary education in secretarial science or a related business field.

Experience

Work generally requires two years of related secretarial/clerical activities. experience to acquire skills necessary to administer office functions related to office management, communications, and budgetary/accounting.
