Extended Day Program Assistant Director
Overview:
Acton-Boxborough Community Education seeks a dynamic, organized, and dependable individual to join our Extended Day team. The chosen candidate will play a crucial role in ensuring the smooth operation of our Extended Day program by providing administrative support and performing various tasks related to program operations, student enrollment and scheduling, family and school communication, and more. This is a fully benefited, 12-month position averaging 40 hours per week, with standard work hours from 9:30 a.m. to 6:00 p.m.
Responsibilities:
  • Collaborates effectively with the Director to manage the day-to-day operations of the program.
  • Develops and maintains positive relationships with students, school personnel, families, and the community.
  • Supervises staff and provides feedback in consultation with the Director, aiming to build strong, effective teams across all Extended Day sites; offers coaching and mentorship to staff.
  • Assists in the hiring, onboarding, and training of new staff.
  • Ensures adherence to DESE, program, and district guidelines, policies, and procedures.
  • Participates in all meetings and professional development sessions; assists in creating agendas and facilitating discussions.
  • Supports program communications through email, phone, and mail, ensuring prompt and exceptional customer service. Reports critical issues to the Director immediately.
  • Assists with the billing and collections processes, including issuing invoices, processing payments, following up on past-due accounts, and addressing billing-related inquiries.
  • Processes bi-weekly payroll and submits it to the Finance department.
  • Manages program supply purchasing within the established budget.
  • Collaborates closely with the Extended Day Director to lead the student enrollment process, including processing registrations and maintaining waitlists.
  • Assists with updating of the program webpage, online materials, and social media.
  • Contributes to designing, implementing, evaluating, and appropriately expanding programming to meet the interests and needs of students and families.
  • Serves as an in-ratio educator at an Extended Day site when needed; providing coverage for the Director and Site Coordinators in the event of their absence.
  • Appropriately represents the program and acts with discretion.
  • Performs other job-related duties as assigned.
Qualifications:
  • Bachelor's degree or higher; preferably in Education or a related field.
  • Minimum of one year of experience in a similar position, demonstrating strong leadership and organizational skills and the ability to prioritize tasks effectively.
  • Experience working with school-age children.
  • A proven dedication to embracing diversity, advancing equity, and fostering inclusivity.
  • Proficiency with Microsoft Office and Google Suite and ability to quickly learn new software programs. Experience with PowerSchool, ProCare, UniPay, Canva, and/or CommunityPass is a plus.
  • Ability to work both independently and collaboratively as part of a team.
  • Strong problem-solving skills, the ability to manage multiple priorities simultaneously, and the capacity to accomplish responsibilities with minimal direction; comfortable taking initiative when needed.
  • Special education experience is a plus.
  • Flexibility and adaptability in handling various tasks and responsibilities.
  • Valid certification in ServSafe, First Aid & CPR, and SafetyCare, or a willingness to obtain and maintain certification within 60 days of hire.
  • Must be eligible to work in the United States and willing to undergo a background check and fingerprinting.
Salary: $55,000 - $65,000
