Job Description Summary

The Senior Director of Advancement Services is responsible for designing, implementing, and managing a comprehensive advancement services operation that is strategic and efficient in support of constituent engagement and fundraising inclusive of prospect research, development operations, database administration, analytics, reporting, portfolio management, and other projects as needed. The Senior Director will lead a team of approximately 7 staff members, with additional contracted support as needed. It is anticipated that this team will grow by 2-3 additional staff members in the coming year(s). This employee must be data driven, skilled at reporting and synthesizing data for senior leadership of Institutional Advancement and MUSC overall. This role is part of MUSC Institutional Advancement (IA) and reports to the Vice President of Institutional Advancement. This role offers the possibility of remote work.

Job Description

Job Purpose:

The Senior Director of Advancement Services is responsible for designing, implementing, and managing a comprehensive advancement services operation that is strategic and efficient in support of constituent engagement and fundraising inclusive of prospect research, development operations, database administration, analytics, reporting, portfolio management, and other projects as needed. The Senior Director will lead a team of approximately 7 staff members, with additional contracted support as needed. It is anticipated that this team will grow by 2-3 additional staff members in the coming year(s). This employee must be data driven, skilled at reporting and synthesizing data for senior leadership of Institutional Advancement and MUSC overall. This role is part of MUSC Institutional Advancement (IA) and reports to the Vice President of Institutional Advancement. This role offers the possibility of remote work.

Minimum Requirements:

Bachelor's degree required. At least seven years of experience in alumni and development operations and/or data management; at least three years program management/supervisory experience with demonstrated success in managing and building teams involving diverse responsibilities and partnering with various constituencies; or the equivalent combination of education and experience may be considered.

Knowledge, Skills, and Abilities:

Expert knowledge of advancement services and related information management support for academic development and alumni relations operations. Must be able to select talent, coach staffing supporting and meeting agreed upon objectives, and provide training, development, and support for other IA staff. Strong familiarity with software applications relevant to the profession, with Blackbaud hosted Raiser's Edge/NXT or similar products is highly desirable. Additional desired skills include Financial Edge, PaperSave, Classy, MailChimp, Data warehouses, and PowerBI. A thorough understanding of CASE and IRS guidelines as they pertain to fundraising, as well as PCI compliance requirements. Exceptional skills in organization and presentation, critical thinking, data analysis, quality assurance, and problem-solving with associated experience in supporting fundraising campaign and alumni engagement activities. Energetic, hardworking, proactive, optimistic, and a "can-do" spirit are must-have qualities. Ability to work with all constituencies. Must be able to work independently with minimal supervision.

Job Responsibilities:

30% - Provides expertise in Advancement Services to increase productivity in philanthropy and alumni engagement. Serves as a senior member of the Institutional Advancement team with the ability to recommend strategies and resources necessary to accomplish strategic division goals including college/unit, health system, and/or institutional campaigns. Builds effective relationships within IA and key leadership and departments across campus, including but not limited to the MUSC Foundation, MUSC Health, MUSC’s Office of Information Technology, and the MUSC President’s Office.

20% - Leads and supervises Advancement Services operations including prospect research, database administration & coordination, constituent records, technology support, donor acknowledgments and gift processing in coordination with MUSC Foundation’s staff and policies.

10% - Manages and grows daily patient data feed in collaboration with internal and external divisions (MUSC Analytics, Epic Team, and Blackbaud). Leads in the creation and build out of the patient database, acquire all necessary resources, and strategically design all workflows affording team members the capabilities to wealth screen patients daily, refer prospects to major gift staff, and incorporate patient prospects in monthly/annual giving and communication pieces. Maintains the patient data system by designing integrated data integrity checks and create processes to synchronize data between the patient data system and advancement systems. Responsible for creating internal mechanisms to expand system capacity to bring in new hospitals’ patient data and outpatient data feeds.

10% - Establishes and implements strategic metrics for Advancement Services. Directs the creation, analysis and distribution of management reports and assessment tools used to evaluate fundraising and alumni engagement efforts. Ensures accurate, timely reporting of institutional data to relevant professional organizations [e.g., Association of American Medical Colleges (AAMC), Association of Healthcare Philanthropy (AHP), Council for Advancement and Support of Education (CASE), Council for Higher Education (CHE), Voluntary Support of Education (VSE), etc. Manages the gift officer metrics report to ensure accountability and accuracy in gift officer activity.

10% - Reviews internal processes division-wide and develops, documents, and maintains appropriate policies and procedures to improve operational efficiency and effectiveness in support of advancement goals. Ensures compliance with professional standards and recommended practices for Institutional Advancement.

10% - Leads new strategy development and implementation for Advancement Services, providing thoughtful analysis, recommendations, and policy, which will drive success in a growing and changing Institutional Advancement division. Provides ongoing training strategy for advancement team to ensure effective database use which includes developing an advancement strategy that encompasses the processes around and impact of data, reporting, technology, and other skills essential for accurate and effective portfolio management, data analysis, and prospect distribution.

10% - Creates and manages annual budgets for Advancement Services including technology, prospect research, and database acquisitions and maintenance. The Senior Director is responsible for cost and initiation and implementing key funding software contracts for IA. In order to prevent duplication this role provides support and review of ancillary software tools used by various work group to determine need and integration requirement.
