Job Description

35% Preclinical Registrar

  • Assist with Registering preclinical students, assists withdrawing students, and sends/checks records/transcripts as needed.
  • Oversee the entire registration process, ensuring that students enroll in the correct courses, and manage any changes or withdrawals efficiently.
  • Retains preclinical student rosters.
  • Regularly update the student information system with accurate data on preclinical medical students including academic records.
  • Maintains attendance records efficiently.
  • Working with COM Student Affairs, accurately maintains information related to preclinical student enrollment, promotion, retention, Leave of Absence, as applicable.
  • Act as a liaison between departments, faculty members, and preclinical students to address concerns, convey important information, and facilitate effective communication channels.
  • Work closely with the main registrar’s office to ensure the preclinical student records align with university-wide standards and practices.
  • Actively participate in training sessions provided by the University’s registrar’s office, staying up to date on best practices and procedural changes.
  • Completes preclinical student semester grade verifications with enrollment management and using student transcripts.  Changes grades at the end of the term as requested and/or approved by the curriculum leadership. 
  • Maintains confidential student files and records related to grades and exam results.  Maintains appropriate confidentiality regarding school/workplace matters.  Maintains current knowledge of legal requirements for protecting student information. 
  • Generate reports for COM administrators/leadership as needed.
  • Compile and analyze data related to preclerkship student enrollment and attendance.
  • Collaborate with academic coaches to support student success. (send student mastery sheets)
  • Assist in organizing and coordinating all preclerkship exams (Proctoring schedule, student seating & scheduling make up exams)
  • VA credentialing in preclerkship curriculum as needed.
  • Affiliation agreements in preclerkship
  • Theses specific duties emphasize the importance of meticulous record-keeping, effective communication, policy adherence, and the ability to analyze and use data to contribute to the overall success of preclinical medical students within the College of Medicine.

25%    Attends all planning meetings of the Pre-Clerkship Curriculum.

  • Provides assistance in preparation of the agenda and maintains minutes of all meetings.
  • Assist in preparation of agenda’s, minutes, scheduling, reminders and maintains meeting attendance
  • Ensure committee charters and membership lists are maintained

20%   Senior Mentor Program

  • Audits, tracks, and maintains all Senior Mentor COM FLEX, 3 & 4 student assignments.
  • Contacts students regarding lapses in compliance
  • Recruit/Retain/Assign mentors
  • Manages contracts and off campus events involving the Senior Mentor Program. Collaborate with outside sales vendors for the Senior Mentor Orientation Luncheon.
  • Collaborate with Senior Mentor Director

10% Academic Support of Students

  • Assists with the Academic Remediation course
  • Assists with Step 1 Board Review course
  • Assists with Academic Coaching support

5%   Educational program outcomes tracking

  • Tracks and maintains Preclerkship Objectives tracker
  • Tracks and maintains Education hours

5%      Other.

  • Provide backup support for other Coordinators as needed, including back up support for the Fall semester for the Manager of Clinical Skills.
  • Provide backup support for Years 1-4 activities that require full staff effort.
  • Exam proctoring as needed.

Minimum Requirements: A master's degree in education or another directly related field and two years experience in curriculum development.
