Job Description
Job Duties:
30% - Assigns surgery dates for Otolaryngology Head & Neck surgeons. Coordinates these dates with the main and ambulatory operating rooms, posts dates in all electronic locations & calendars. Assist physicians, and nursing staff to coordinate surgeries with the operating room. Maintains communication with the surgical team, and the operating room to ensure that the surgeons are accommodated and their surgical procedures flow smoothly. Clarifies responses to any questions asked that pertains to the entire surgical process and its paperwork
30% - Schedules surgeries for the Otolaryngology Head & Neck surgeons. Informs patients of their surgery workup and telephone screen appointments. Informs patients of their time and date of surgery along with their appropriate instructions for surgery. Responsible for receiving posting slips that are generated by the surgeons, residents, or nursing staff. Posts the surgeries with the correct codes to the appropriate operating room on the hospital scheduling system (PICIS), and informs patients of dates and times for surgery work up. Handle changes that have taken place after the schedule has been completed, which includes taking care of cancellations, recalling patients, etc. Contacts company reps for required equipment needed for surgery. Ensures that all available OR time is booked efficiently to maximize usage.
20% - Maintains detailed records in which all data is kept regarding future cases, equipment needs, referring physicians and operating room data. This information is kept current and available at all times to be reviewed by faculty and staff. The records should contain details of phone calls, emails and surgery changes. Maintains the ENT-drive so that it may be viewed by faculty, residents and administrative staff in order that they may view their schedule on any given day. Contacts the appropriate faculty and assistants via email or by telephone with any time that is released by any of our surgeons not operating on that day, which is offered to the other faculty on a first-come first-served basis.
10% - Screen/route incoming calls, taking necessary action to relay messages, page physician or neutralize situation. Provides assistance in a courteous quick manner. Treats others with care and respect, maintaining privacy, confidentiality, and dignity
5% - Provides assistance to the business office on as "as needed" basis
5% - Other duties as assigned.
