Job Description

Autonomous position providing high level administrative support to Surgeons within the Division of Pediatric Surgery. Performs various duties for clinical, academic, research, and public service activities in order to optimize time spent by these doctors on administrative matters.

Job Responsibilities:

1. Administratively supports the Division Chief of Pediatric Surgery. Works closely with the Division Chief in coordinating the activities of the division as they relate to the Department of Surgery and their role in the MUSC Children’s Hospital. Assists in maintaining unity among staff (administrative, physician extenders, students, residents, and attending physicians) with collaborative and team building qualities. 20%

2. Serves as the administrative assistant to select Pediatric surgeons. Coordinates their schedules, including scheduling meetings, preparing travel arrangements, and clinic patient visits, etc. Maintains their calendars and assembles all appropriate information for upcoming meetings or patient visits. Briefs physician prior to meetings. 20%

3. Coordinates administrative requirements of select faculty member i.e. track CME credits, assist with applications and licenses, coordinate reimbursements, triage phone calls, sort and respond to mail correspondence. Assist attending physicians and Advanced Practice Providers in academic productivity and in implementing clinical research projects. 15%

4. Responsible for scheduling and coordinating patient surgeries, diagnostic tests, or other ancillary procedures. . Improve and supervise operating room efficiency, develop strategies for effective scheduling and maximal utilization of in-patient and out-patient operating rooms. Monitors and records surgical cases and procedures performed. Maintain a comprehensive call schedule for the attending physicians and mid-level providers. Maintain a Pediatric Surgery database for select surgeons. 10%

5. On a quarterly basis collaborate with the marketing department to coordinate distribution of marketing materials to area physician and referring providers. 10%

6. Manages patient referrals ensuring that all outside records are reviewed and appropriate ancillary tests have been requested. Manage the clinic notes of select surgeons and clinical support personnel. Upload, proof and fax clinic notes to referring and consulting physicians. Manages and schedules clinic appointments, revises clinic schedules as necessary, reviews clinics prior to clinic date to ensure that they are scheduled appropriately. Participate in the development of efficient clinics / outpatient services. 10%

7. Monitor and review billing and collections. Monitor and review coding compliance. Performs audit on the E&M’s to make the billing department is processing them correctly. Collaborate effectively with UMA in improving billing, collections and RVU’s. 10%

8. Collaborate work with staff at all levels and with departments and divisions. Participate in development of new practice guidelines, standard forms, and clinical pathways. Monitor and implement compliance regulations.  5%

MUSC Minimum Training and Experience Requirements:
A high school diploma and two years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.

Additional Job Description

A high school diploma and two years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Some positions require a valid driver's license and good driving record; or correctable vision of 20/40 in both eyes, with or without conventional lenses, and physical qualifications in accordance with Federal Motor Carrier Safety Regulations, Section 391.41; or AAVMA certification. Some positions require eligibility for bonding.
