Job Description Summary

The Business Manager specializes in finance and human resources to oversee and optimize the Office of Marketing and Communications operations. The ideal candidate will demonstrate a background in finance, HR, administrative processes, and streamlining processes within a business environment. This role will manage MUHA and University budgets, contractual services, and human resource functions, as well as perform other administrative duties by collaborating with enterprise-wide teams and departments (ICCE).

Job Description

FINANCE –

  • Oversees/Assists with the budget submission process (MUHA & UNIV) in Axiom & OurDay
  • Processes invoices and checks payment status as requested
  • Submits Journal Entries/ISD/Funds Transfer requests
  • Approves financial-related requests in OurDay Request variance/MEC Approval Memos as needed
  • Collaborate with Leadership (Finance & Operations) to provide resolution to inquiries
  • Maintain a budget spreadsheet (tracker) or Monday.com board for all spending for approximately 15-20 cost centers/FDM (MUHA, UNIV - Charleston & RHN)
  • Assist accounting with month-end closing (allocations) and valuation
  • Prepare and maintain financial models and tools; learn and master the budget forecast model in preparation for annual budget meetings
  • Run monthly Budget to Actual (BTA)/Find Journal Lines reports for reconciling cost center expenses
  • Budget Variance management – Axiom Comments, MEC Requests
  • Contracts (Symplr)
    • Facilitate workflows between vendor and department for Media Buys, Marketing/PR, CRM, Web/Software, Sponsorship, Professional Services, Brand services, HR Recruitment, Licenses, and Signage for Charleston and RHN (MUHA & UNIV).
    • Initiate IS review for technical purchases - Coordinate with Legal and compliance as necessary
  • Monday.com Boards: User/License maintenance, Budget boards, IS/Photography/Creative Equipment Inventory
  • Communicate OurDay and Axiom updates regarding financial approvals and procurement changes
  • Vendor/Supplier Maintenance Facilitate processes and forms with vendors and departments
  • Media Buys – Makiaris and direct buys (contracts & invoices)  Gather reports (Quarterly/Annually) for reconciling media buys
  • Travel booking and support with reimbursement expense reporting for employees and candidates
  • Pcard Management (Works) for MUHA cardholders; allocation and approvals for social media, Memberships, Services, Travel, Events, PCard Monthly reconciliation management
  • Requisitions/Purchase Orders

HUMAN RESOURCES –

  • Recruitment and Job Postings - Talent Acquisition Strategy
    • New job postings
    • Review by class & comp
    • Obtain Labor Committee approvals, if needed
  • Employee management
    • Employee exit management (offboarding checklist - exit interviews, equipment, keys, badge, software, email/meetings, etc.)
    • Facilitating reclassifications (any employee who has received a change in duties on their position description or believes their job has changed considerably, the new job description should be sent to class and comp for review). Update personnel files as needed
    • Assistance with performance reviews and performance improvement plans
    • Assistance with Employee updates and Action Items in Ourday
      • Ensuring departmental employees have their position descriptions and accomplishments (leadership institute, etc.) up-to-date within Ourday
      • Ensuring annual goals are established
      • Management and costing allocation changes
  • Professional Development
    • Sharing Ragan Communication Training with everyone (including partners, College Communicators, IA etc.)
    • Team event planning (Quarterly Retreats) - booking, attendance, presentation preparation, meals, and supplies
    • Measuring utilization of training, ensuring that we are reviewing accurate reports of employee engagement (reconcile participation)
      • Ragan Communication and user management
      • Meltwater training
      • Emerging Leaders/advanced leadership training
      • WorkDay/OurDay training
      • Annual Mandatory training
      • LDI attendance 
  • Other duties as assigned

Additional Job Description

Bachelor's degree in Business Administration, Health Administration, Accounting or related field with three (3) years of experience in a position of significant financial and operational responsibility in a medical hospital or related institution is required. Knowledge and understanding of budgeting, operations, labor management, strategic planning, and satisfaction performance reporting systems and methodologies are required. Proven ability to research, gather, synthesize and organize information to produce concise reports using various resources. Understanding of external regulatory requirements and effective compliance assurance methods is preferred. Experience with contract negotiation, audit, and compliance is desired. Must be proficient in the use of spreadsheets and have excellent oral and written communication skills to communicate complicated policies and procedures and financial information to a wide variety of audiences. Position must use discretion in handling a wide range of confidential information.
