Job Description Summary

Coordinate business and organizational procedures to support various activities for the Center for Clinical Assessment and Teaching (CCAT), including preparation and support of all CCAT-sponsored programs and functions, data entry and data management using CCAT software technology that facilitates the planning, capture and tracking of departmental programs and events, procuring equipment and supplies needed by the CCAT, providing cross coverage within the CCAT to ensure cohesive support for all events and activities and providing support for assigned College of Medicine finance procedures.

Job Description

CCAT Operations                                                                                                                     30% E

Assist with all facets of the CCAT clinical assessment and teaching activities, as assigned. Work in concert with CCAT director and staff to prepare and support activities, including but not limited to stocking and setting up exam rooms, preparing documentation as needed, timing exam sessions, and offering direction to the students and faculty throughout an exam or activity.

SP Scheduling                                                                                                                          25% E

Recruit and schedule standardized patients (SPs) according to their specified training and expertise for clinical skills education and assessment activities, enter information in the scheduling software, place reminder telephone calls, and confirm SP schedules. Track SP hours for assigned roles. Arrange for payment for SP services based on pay rate for specified role; be knowledgeable about university and business practices for College of Medicine and University.

Medical Student Finance Tracking                                                                                             25% E

Collect and track requests for COM student waivers, prepare documentation for the Office of Enrollment Management (OEM) regarding COM requests for student waivers, submit requests and communicate with appropriate entities in the College of Medicine for approval. Assist with reimbursement of students as directed for various activities.                                      

Data Management                                                                                                                     10% E

Create checklists and schedules in preparation for upcoming activities in CCAT. Use BrightSpace, Excel, Teams and other technologies to post, maintain, track student attendance, and communicate information as directed. Support the CCAT Director in collecting data and preparing relevant and accurate student and departmental data and utilization reports. Communicate effectively in sharing data as directed with stakeholders.

Inventory Coordination                                                                                                              5% E

Develop and manage a process for storing, upkeep, assignment and check out of CCAT training models, simulators, ultrasound machines, portable exam tables, and associated supplies. Identify, communicate and seek approval for securing supplies and equipment needed to support the daily operations of the CCAT. Organize and store supplies.

Perform other duties as needed and assigned by the Director of the CCAT or the Senior Associate Dean for Medical Education to support the medical student education program.                                     5% E
