Description Position Title: Secretary - Pupil Personnel Services
Department: Pupil Personnel
Reports To: Director of Student Services
Salary in accordance with the AFSCME agreement

Purpose of Position
To support the Pupil Services Office by performing a wide variety of complex clerical and administrative duties, often of a confidential nature.
Essential Duties and Responsibilities:
  • Performs general office duties, including but not limited to telephone/e-mail, intercom message systems, mailing duties, receptionist duties, preparation/editing of correspondence/reports, scheduling, general filing, photocopying, maintaining records, and monthly reports. Schedules appointments and meetings for supervisors. Takes accurate messages and responds to routine requests for information or directs inquiries to proper individuals where appropriate.
  • Inputs, maintains and updates various student records and files in accordance with standardized records management and security procedures for both student classified and unclassified materials; retrieves filed documents and materials; and transfers and discards files in accordance with established business procedures and schedules. Maintains confidentiality with all District information, including District and school population information.
  • Maintains administrative, correspondence, and confidential files. Develops, coordinates and maintains pupil records as part of the Pupil Personnel Services function. Coordinates student records management for Pupil Personnel Services.
  • Composes letters, memoranda, and other materials independently or with minimal instruction. Reviews outgoing correspondence, refining and changing grammar, punctuation and spelling when necessary.
  • Assists with office support activities to include duplicating materials, collating materials, reproducing and directing correspondence, refining and changing grammar, punctuation and spelling when necessary, answering questions and handling requests for information, preparing reports and taking messages.
  • Uses computer/technology skills in performance of duties, such as use of the Internet, accessing databases, spreadsheet design, desktop publishing and creation of forms. Updates skills to ensure ability to use technology and implement new practices and procedures as they are developed
  • Performs other duties as assigned.
  • Performs in accordance with school policy, administrative regulations, state and federal laws

Minimum Training, Abilities & Experience Required to Perform Job
  • High School diploma or GED required
  • Two or more years of secretarial/clerical work experience.
  • Satisfactory work and attendance record
  • Ability to work a flexible schedule when necessary
  • Bilingual interpretation abilities are preferred but not required
  • Salary: $16.50/hr/260 days/8hr days
