Job Description Summary

The Careers in Medicine (CiM) Program Director is a key administrator in the College of Medicine with significant responsibility for overseeing services for career advising and career planning, academic advising related to career planning, and residency match planning for all medical students. The CiM Program Director leads in designing and implementing of the Careers in Medicine (CiM) Program at both campuses in collaboration with the Associate and Assistant Deans for Career Planning and Advising, the Associate Dean for Student Affairs and Student Wellness, and the Associate Dean for Student Affairs and Professionalism, and collaborates with key stakeholders to ensure that the college achieves optimal residency match outcomes for the students. The CiM Program Director oversees the Electronic Residency Application Service (ERAS) and the residency match systems including the San Francisco Match, American Urology Association Match, Military Match platform, and National Resident Matching Program (NRMP) at both campuses. The CiM Program Director is the CiM liaison to the regional campus, oversees the MSPE (Dean’s letter) program, and reports directly to the Associate Dean for Student Affairs and Student Wellness.

Job Description

Careers in Medicine (CiM) Programming Management (20%) E

  • Ensure compliance with all LCME standards that relate to career advising and career planning;
  • Provide direct oversight for implementation and management of the career advising and career planning program activities for year 1 - year 4 at both campuses;
  • Support and facilitate meetings and activities of the Student Career Advisory Council to inform program improvements;
  • Pre-clerkship Phase:
    • Oversee the implementation of the Careers in Medicine activities including collaborating with curriculum leadership to schedule pre-clerkship specialty seminars/ CiM lectures;
    • Participate in creation and execution of Careers in Medicine Days for M1 and M2 classes;
    • Facilitate the Medical Student Preference Inventory (MSPI) Small Group sessions to discuss specialty decision making for pre-clerkship students;
    • Support the activities associated with the Student Resident Mentorship Program.
    • Plan, implement and oversee a community career shadowing program.
  • Clerkship Phase:
    • Implement Careers in Medicine seminars for clinical students including ERAS/NRMP Workshops, Program Director Panel & Interviewing Techniques Workshops, NRMP Ranking Seminar in collaboration with the Associate Dean for Career Planning and Advising.

CiM Selective and Elective Advising, Career Advisor Assignment, and the FLEX-plore Program (20%)E

  • Implement and manage the Selective and Elective Advising system to ensure timely advising for year 2 and year 3 students annually; encourage student participation;
  • Manage the assignment of specialty career advisors for all third-year and fourth-year medical students and develop efficiency with advisors and request changes in specialty pairing;
  • Facilitate and support faculty development programs for departmental (specialty) faculty advisors;
  • Manage the Brightspace FLEX-plore page and student opt-in process and communicate with departmental coordinators to ensure students are provided with selected career experiences.

Match Assistance Program (MAP) (10%)E

  • Provide oversight of the data collection for the MAP Tracking System for fourth year students annually;
  • Serve as the primary point of contact for the Mapping for the Match program to assist COM students in assessing their competitiveness based on institutional data and published, national data;
  • Utilize student academic performance data to advise students;
  • Analyze match trends and develop student-specific plans to help them meet their career goals;
  • Analyze annual institutional Match data and prepare reports and statistics as requested;

Residency Match Program (25%)E

  • Serve as the institutional representative for the National Resident Matching Program (NRMP), SF Match (San Francisco Match), American Urology Association (AUA), Military Match residency application system and the Electronic Residency Application Service (ERAS);
  • Advise students regarding application strategy, including how to address challenging issues in the application (e.g., academic failures or delays, professionalism concerns) and the best strategy for securing letters of recommendation;
  • Implement strategies to encourage student participation in published, scheduled office hours for career and residency match advising;  
  • Assist students by reviewing ERAS Applications and personal statements, assembling credentials for residency requirements, and scheduling mock interviews as needed;
  • Organize ERAS Workshops that provide guidance to all fourth-year students regarding completion of their residency applications;
  • Review applications for fourth year students prior to submission to residencies;
  • Develop an effective communication plan for informing students of upcoming events, residency training opportunities, available services and resources;
  • Foster positive relationships with students and ensure welcoming and supportive environment.
  • Oversee the planning and implementation of SOAP Week and Match Day;
  • Assist alumni with the fellowship application process; upload official documents to the MIDUS system in ERAS for fellowship applications, or provide educational documents to requested fellowships per the policy.

Medical Student Performance Evaluation (MSPE) Management (15%)E

  • Oversee the process for development of the MSPE template in accordance with LCME, ERAS and NRMP standards, and the COM policies;
  • Submit the MSPE template annually to MEPIC for review and approval including any recommended alterations to the template prior to the start of the next academic year;
  • Mange the construction and creation the MSPE for each student, ensuring accuracy and thoroughness of content (e.g., grade reporting, academic and professionalism concerns,  explanation of extended study), and compliance with all LCME standards and COM policies;
  • Manage the assignment of MSPE writers for each fourth-year student; ensure that MSPE writers do not have a conflict of interest with their assigned student;
  • Ensure that each student reviews their MSPE in accordance with policy;
  • Train support staff to construct accurate, compliant MSPEs, including how to access confidential student data for construction of the letter.

MUSC-AnMed Clinical Campus Career Advising Liaison (5%)E

  • Collaborate with Student Affairs colleagues at the AnMed Health Clinical Campus to support and monitor comparable systems for career advising and planning per LCME Standard 11;
  • Facilitate monthly calls with AnMed education leaders to address career advising and residency planning student needs; document expectations for student support and monitoring with the campus dean and Associate Dean for Student Affairs and Professionalism and Associate/Assistant Dean for Career Planning and Advising;
  • Monitor compliance of regional campus with the Medical Student Performance Evaluation (MSPE) Policy;
  • Monitor regional campus students’ compliance with ERAS and NRMP related deadlines;
  • Facilitate an annual in-person session at AnMed to offer guidance to all AnMed students for CiM related topics as they enter fourth year.

MD-MSCR Combined Degree Program, Extended Research, and Accelerated Pathways Career Advising  (5%)E

  • Offer advising sessions to interested students to discuss the MSCR degree program requirements and/or extended research opportunities;
  • Coordinate student participation in the combined MD-MSCR degree program with the College of Graduate Studies (CGS); collaborate with CGS to create and implement best practices for administration of the combined program in accordance with accreditation requirements for both degrees; provide academic advising for all students who elect to complete the MD-MSCR, and ensure optimal scheduling for on-time completion of degree requirements;
  • Oversee the academic planning for the student’s coursework completion and monitor compliance with completion of the MSCR program for traditional verses blended pathways or the research program for academic scheduling; hold annual advising sessions for all combined degree and research students to review expectations for scheduling and completing COM academic requirements;
  • Collaborate with the COM Director, Clinical Curriculum and Visiting Student Program to ensure timely communication about advised student schedule changes;
  • Ensure adequate financial aid advising occurs, specific to the pathway selected;
  • Manage the tuition waivers for all students entering a combined degree program and returning to MD curriculum for their final year of academics;
  • Notify all appropriate persons of the enrollment status of combined degree program student;.
  • For Accelerated Pathways students, collaborate with departments to facilitate information sharing that is needed to expedite licensure and mitigate gaps in the transition to residency.
