Job Summary:
To provide the highest level of Human Resources functions in an accurate, professional, confidential, efficient and timely manner. coordinates compliance activities/requirements for all district personnel.
Essential Functions:
Administers the District’s workers’ compensation program. Processes claims with the insurance carrier and investigates claims to determine validity. Communicates regularly with the insurance carrier on claims and monitors documentation submitted on behalf of claimants. Advises claimants and supervisors on the workers’ compensation process and on any related issues. Coordinates follow-up activities in order to effectuate a swift return to work for employees.
Ensures that all appropriate documents are submitted and processed for FMLA and other leaves of absence. Monitors and documents leave of absence usage and prepares reports as requested by the Director of Human Resources or Superintendent of Schools. Monitors leaves of absence to ensure proper reporting of days; ensures relevant date is completed for required service day report related to leaves of absence for Board agenda.
Processes leave updates in the district’s absence management and time and attendance systems for workers’ compensation, FMLA and leave of absences. Coordinates payment for leave processing with the Payroll Department.
Administers the recordkeeping for the District’s sick leave banks. Receives and processes enrollment requests and leave bank requests. Gathers documentation and provides insight into requests for leave from the respective banks. Makes necessary adjustments to the District’s systems in order to document and account for leave donation and utilization.
Oversees compliance of background clearances for all employees and tracks expiration dates. Communicates with employees as needed to ensure submission of all required clearances. Reviews clearances for compliance with applicable regulations. Tracks independent contractor and volunteer clearances.
Processes wage verification forms from financial institutions, workers’ compensation, domestic relations, and social security agencies. Assists with employment verifications. Researches payroll records for social security/retirement verification. Uses computer/technology skills in performance of duties, such as use of the Internet, accessing databases, spreadsheet design, desktop publishing and creation of forms. Updates skills to ensure ability to use technology and implement new practices and procedures as they are developed.
Maintains confidentiality with information related to staff and students and complies with requirements of federal and state law and regulations and district policies and administrative procedures.
Establishes or maintains existing online and hard copy filing systems appropriate for business office environment, in accordance with standardized records management procedures to facilitate retrieval and access.
Maintains classified or confidential materials in accordance with security procedures; and transfers and discards files in accordance with established business procedures and schedules.
Provides records for the annual budget as requested.
