TITLE: Boathouse Manager

REPORTS TO: Athletic Director

SCHEDULE: Three Quarter-time, 1600 annual hours, 10-months/year, generally mid-February through November 11am - 7pm. Schedule may vary according to departmental and Academy needs.

Position Purpose

Oversees the daily operations of the boathouse to meet the required standards in service, equipment, programming, and cleanliness. The boathouse manager must be culturally aligned to the school environment with a diverse population and understand that job responsibilities extend beyond boathouse and must strive to continually improve collegiality.

This position supports Physical Education and Athletics programming, maintenance of boathouse facility and all crew equipment. The manager’s position requires on-site availability during practices and races. The Boathouse Manager works closely with students and a team of coaches.

Job Responsibilities

Equipment and supplies

  • Prepares shells and motorboats for practices daily.
  • Performs preventative maintenance and adjustments on all rowing equipment including engines, launches, rowing shells, barges, oars, ergometers, cox-boxes, coaching megaphones and related equipment at Boathouse and gym to ensure the safety, speed, and effectiveness of crew equipment.
  • Performs maintenance/repairs to include launching/trailering motorboats, winterizing motors, and transporting boats and motors for service.
  • Maintains necessary supplies and materials for operation of crew program including gasoline, towels, trainers’ supplies, tools, spare parts, and equipment.
  • Coordinates logistics and works directly with repair companies to ensure appropriate registration, inspection, and maintenance for PEA boats and shells.
  • Plans equipment winterizing schedule and activity with head coaches.
  • Maintains trailer inspection and service trailer as needed, coordinate the regatta itinerary with the program coaches, drive trailer and boats to regattas.
  • Coordinates loading and transportation of ergs across programs and for events.
  • Supports competitive trips include loading/unloading of trailer, assembly/disassembly of shells, and long distance driving pulling trailer.

        Administrative Management

        • Supports the development, execution, and maintenance of the Saltonstall Boathouse on behalf of the Athletic Director, in conjunction with the faculty of the crew and physical education athletic programs, so that policies, procedures and protocols ensure the safety of students, personnel, and guests.
        • Ensures that the facility and all activities are complying with state and local codes, laws, and regulations.
        • Evaluates current safety practices and makes adjustments as necessary.
        • Ensures the operating budget is maintained without compromising safety.
        • Ensures that all first aid kits are stocked, as well as ensuring that all AEDs are working properly.
        • Keeps accurate, up-to-date records of Boathouse budget expenses.
        • Prepares yearly capital equipment requests in consultation with the head coaches during budgeting process to be submitted to the Athletic Director.
        • Submits a complete inventory of all on-hand boathouse material and equipment, to include the serviceable condition of each and recommendations for replacements and those supplies needed for future operation in consultation with the head coaches.
        • Monitors digital equipment inventory and manages capital equipment sales and purchases by meeting regularly with the athletic director and head coaches.
        • Develops tide charts for plotting optimal and safe use of the river to share with Physical Education and Athletics.
        • Tracks swimmers and non-swimmers within the crew programs and coaches.
        • Ensures security and safety of coaches, visitors, team members, Boathouse, and equipment.
        • Sets up and plans for crew training sessions, including attending meetings pre and post season, in conjunction with coaches, Physical Education and Athletic Departments.
        • Sets up and plans for crew trips, races, and practices in conjunction with interscholastic coaches and Athletic Department.
        • Creates a friendly, positive, environment through example, training, and oversight.
        • With Facilities Management, coordinates spring installation/fall removal of docks at boathouse and Robert H. Stewart Waterfront Park.

                Facility

                • Locates, identifies, resolves and reports any potential or existing problems with the infrastructure of the Saltonstall Boathouse, dock, parking lot and other facilities.
                • Maintains the Saltonstall Boathouse in order to provide a safe, state-of-the-art facility for the crew teams, coaches, and visitors.
                • Serves as the main contact for Saltonstall Boathouse repairs and maintenance by coordinating logistics with the maintenance department to ensure meticulous boathouse facility at all times.
                • Works to ensure that all storage rooms are clean, organized, and uncluttered.
                • Assists with equipment and facility prep for all events held at Saltonstall Boathouse.
                • Coordinates cleaning and maintenance of boathouse including shell bays, shop, clubroom, and exterior areas through all seasons in partnership with Facilities.
                • Schedules will consist of daily, weekly, and monthly checklists.
                • Leads boathouse days; working with additional support staff to ensure all equipment is in working order.

                Safety & Emergency Management

                • Ensures safe and competitive programming for team members, coaches, and visitors and that the boathouse and equipment are secure and safe for use.
                • Assists with announced and unannounced water safety drills for crew/boathouse.
                • Ensures that emergency and communications systems (telephones, 2-way radios, and communication book) are working properly and are being used by the coaches.
                • Develops culture of emergency preparedness and safety among all faculty, staff, and students.

                  Position Requirements

                  Education

                  • High school diploma or GED required.
                  • Bachelor's degree preferred.

                  Experience

                  • Experience with marine repairs and maintenance of boating equipment.
                  • Requires experience repairing and performing preventative maintenance on outboard motors as well as expertise with common hand and power tools.
                  • Experience with motorboats and commercial boating safety required.
                  • Must have experience with and be knowledgeable about working with wood, Carbon fiber, fiberglass, and metal.
                  • Knowledge of crew shells and equipment preferred.
                  • Experience driving large boat trailers.
                  • Valid driver’s license.
                  • Experience in an academic institution preferred.
                  • Experience working with adolescents in an educational setting preferred.

                  Physical Requirements

                  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

                  1. Physical demands are in excess of those for sedentary work and will require the ability to remain standing for extended periods of time, go up and down flights of steps, lift and push heavy objects as well as stoop, squat, bend, kneel, crouch, and lift.
                  2. Ability to lift and transport a minimum of 50lbs without assistance.
                  3. Ability to sit in a normal seated position for extended periods of time.
                  4. Ability to drive long distances.
                  5. Reaching by extending hand(s) or arm(s) in any direction.
